Leads and clients

The enquiry that arrives at 9pm is still there on Monday

Log where it came from, what the job is and where the site is. Move it through the pipeline as it develops. When it is won, the party joins your client register and the lead stays where it is, marked won.

How does the lead pipeline work?

A lead moves through six stages, and Biztricks only allows the moves that make sense. It is a small list on purpose: a pipeline nobody updates is worse than no pipeline.

The six lead stages
StageMeans
NewAn enquiry that has arrived and not yet been assessed.
QualifiedWorth your time. Budget, site and intent are understood.
QuotedA quotation has gone out against it.
WonThey signed. The party also appears in your client register.
LostThey went elsewhere, or the job died. A reason is recorded.
UnqualifiedNever a real enquiry — a wrong number, a survey, a tyre-kicker.

A won lead cannot be marked unqualified. Somebody who signed was, by definition, a real enquiry. Small rules like that are what stop a pipeline drifting into a list of contradictions after a year.

Where do leads come from?

Biztricks records the source on every lead — WhatsApp, referral, walk-in, Instagram, website or something you type yourself.

Six months later that is the only honest answer to "is the Instagram spend working?", and reports will group conversion by source for you. It takes one tap when the lead is created, which is the only moment anyone will ever reliably do it.

Biztricks also flags likely duplicates. The same person enquiring twice through two channels is the normal case, not the exception, and two half-updated records for one customer is how a follow-up gets dropped.

What happens when a job is handed to someone else?

The handover is an explicit queue. The person taking the job claims it; it does not silently change owner.

This is deliberate, and the reason is worth stating: Biztricks has no notification system. A reassignment that just changed a name in a field would be a follow-up nobody knows they now own — which is exactly how a live enquiry goes quiet. So a handed-over lead sits in a queue until someone claims it, and it is visible until they do.

What Biztricks does not do

  • No email or WhatsApp inbox — Biztricks does not send or receive messages on your behalf.
  • No automated follow-up sequences or drip campaigns.
  • No notifications, in-app or otherwise. Work that needs picking up sits in a queue you can see.
  • No call logging or telephony integration.

Questions

Questions about leads and clients

Is a lead the same thing as a client?

No — a lead is an enquiry, a client is a party you do business with. When a lead is won it stays in the leads list marked won, and the same party appears in your client register, with a link between the two records. That way your conversion figures still include the jobs you won, and your client list is not full of enquiries that went nowhere.

Do I have to give a reason when I lose a lead?

Yes when you lose, no when you win. Interrogating somebody at the moment of good news is how a field stops being filled in honestly. Losing takes a reason — a key you can group by later, not an essay. Reopening a closed lead is the one place that asks for prose, because that is a change of story and the next person to look needs to know why.

Which plan includes leads and clients?

Professional, at ₹1499 a month. Starter covers quotations and GST invoicing for one or two people; the leads pipeline and the client register are not in it. Compare the plans.

Can I store site addresses and documents against a client?

Yes — a client can hold several sites, and files can be attached to the client record. Uploads keep both the original and a compressed copy, so a plan drawing you were sent stays usable at full resolution and the version the app shows loads quickly on site.
