Customer proposals

Send a document, not a screenshot of a table

A quote in Biztricks goes out as a proper multi-page proposal: what you will do, what you will use, what each room costs, when each payment is due and what the terms are. It reads well on a phone and prints properly on paper.

What is in a proposal?

Eight sections, of which the ones you have not written simply do not appear. A fresh workspace arrives with real starter text for your trade, so your first proposal is a document you edit rather than a cover page with a table underneath it.

  • Cover — your firm, your customer, the quotation number, and the partner's project ID when there is one
  • Introduction — what this proposal covers and how changes on site are handled
  • About us — who is doing the work
  • Materials — the specification the rates are for
  • Pricing — grouped by room, category or phase, each group with its own subtotal
  • Summary — the totals, and tax when the document is taxed
  • Payment schedule — the staged plan, in percentages and amounts
  • Terms — numbered clauses, from a plain textarea you type into

An empty section never prints a heading. A firm that has not written its materials specification gets a proposal without a Materials page, not a page with a heading and nothing under it.

What does the payment schedule look like?

A staged plan in percentages, seeded for your trade and edited to suit the job. Here is what a new interiors workspace starts with.

Payment schedule

Default staged payment schedule for an interiors firm
StageShare
Booking with semi-3D drawing5%
On semi-3D approval and contract signature50%
After on-site structure and carcase work40%
After final work with measurement5%
Total100%

A materials dealer starts with 50% advance on order confirmation and 50% balance before dispatch. A services firm starts with 50% advance to schedule the work and 50% on completion and sign-off. Putting an interiors firm's four-stage schedule on a plywood invoice would be wrong on its face, so it is set per trade.

Dark on screen, light on paper

The proposal is dark when your customer reads it on a phone at night and light the moment it is printed or saved as a PDF — with no setting to find and no second document to produce.

This is a deliberate decision rather than a side effect. A dark document reads better on a screen; a dark document sent to a printer wastes a cartridge and comes back grey. So the on-screen palette is yours to choose in Settings, and the paper palette is fixed and is always light.

The contrast of text on your accent colour is worked out from the colour, every time it is drawn. That is the difference between a template that looks right for the firm it was designed for and one that looks right for yours.

How are revisions numbered?

Every quote number ends in a letter, and the first one is A. Duplicating Q-2627-0007A gives you Q-2627-0007B — the same job, the next revision.

The revision consumes no new quote number, so your register counts jobs rather than conversations. Your customer can tell at a glance which version of the document they are holding, which is exactly the argument you do not want to be having when a price is queried three weeks later.

What Biztricks does not do

  • There is no e-signature. Accept and reject are recorded actions, not a digitally signed contract.
  • Biztricks does not send the WhatsApp message for you — it gives you the link to send.
  • There is no read receipt or open tracking on a shared document.

Questions

Questions about proposals

How does my customer receive the proposal?

As a link, which you send over WhatsApp or email. Your customer opens it in whatever browser their phone already has — no app, no login, no account. The same document is downloadable as a PDF from the page, so it can be forwarded, printed or handed to an architect.

Can my customer accept the quote from the document?

Yes — accept and reject are on the document itself. The result lands back in your quote list immediately, so you are not waiting on a "yes" in a chat thread that gets buried. A rejected quote can be reopened if the conversation restarts.

Can I stop someone seeing an old link?

Yes, every share link can be revoked. The moment you revoke it the URL stops working for everyone holding it, including anyone it was forwarded to. Links are long random tokens, not guessable document numbers.

Does it use my branding?

Yes — your logo, your brand colours, your contact block and your signature. Biztricks works out whether text on your accent colour should be dark or light from the colour itself, so a firm that picks a pale brand colour still gets a readable document rather than white text on yellow.
